Privacy Policy
How Expert Safety Solutions handles the personal data you share with us.
1. Who we are
Expert Safety Solutions, a proprietorship of Nileshkumar Manjibhai Padaya, (“we”, “us”) supplies fire and industrial safety equipment and services from Survey No. 775/2, Sub Plot No. 737/1, NH No. 8, Beside Jeep Compass Showroom, Opp. GSFC Nagar Gate, Dashrath, Vadodara - 391740, Gujarat, India. GSTIN 24COMPP8380J1Z9. For the purposes of the Digital Personal Data Protection Act, 2023 (“DPDP Act”) we are the Data Fiduciary for the data described below.
2. What we collect
When you send an enquiry or request a quotation we collect:
- your name, designation (optional), mobile and WhatsApp numbers, email address, company name and site address;
- your GST number, if you choose to give it;
- the name, designation, phone numbers and email of any other contact persons you choose to add (please add only people who know their details are being shared);
- what you need (for example new extinguishers, refilling, Fire NOC help) and the notes you write;
- the products you add to your enquiry list, with quantities.
Your enquiry list is also kept only inside your own browser until you submit the form. While you browse product pages, a small record is kept in the same way (local storage): a randomly generated visitor ID and how long you actively looked at each product page. It contains no name or contact details and is not sent to us unless you submit a quotation request, in which case it is attached to that request so we can understand which products you are interested in. Browsers with “Do Not Track” or “Global Privacy Control” switched on are not tracked at all. You can clear it at any time by clearing your browser’s site data.
Like most websites, our hosting provider keeps routine server logs (such as IP address, browser type and pages requested) for security and reliability.
3. Why we use it
- to prepare and send you a quotation, and to contact you by phone, email or WhatsApp about it;
- to answer your enquiry and manage our follow-up with you in our customer records (CRM);
- to understand which products are of interest, so we can quote and stock sensibly;
- to keep records required by law (for example tax and accounting records if you place an order);
- to keep the website secure and prevent misuse.
We do not use your data for anything else without asking you first, and we do not sell it.
4. Your consent
We ask for your consent, by an unticked checkbox on the quotation form, before we use your details for the purposes above. We keep a record of when you consented, the version of this policy at the time, and the exact wording you agreed to. You may withdraw your consent at any time (see “Your rights”); withdrawing does not affect anything done before you withdrew, but we will stop using your data for the quotation and follow-up.
5. Who we share it with
We share data only with service providers who help us run the website and quotations, on our instructions:
- website hosting (Vercel);
- our database provider (MongoDB Atlas) where quotation requests are stored;
- our email provider (Resend), which delivers quotation and notification emails;
- our customer-management (CRM) system, used by our team for follow-up.
Some of these providers may store or process data on servers outside India. We may also disclose data where the law, a court or a government authority requires it.
6. How long we keep it
We keep quotation requests and the related contact details for up to 24 months after our last contact with you, and longer only where the law requires (for example tax records for a completed order). After that we delete or anonymise them. If you withdraw consent or ask us to erase your data, we delete it sooner unless we must keep it by law.
7. Your rights
Under the DPDP Act you have the right to:
- get a summary of the personal data we hold about you and who we have shared it with;
- ask us to correct or complete inaccurate data;
- ask us to erase your data;
- withdraw your consent at any time;
- have your grievance addressed, and to nominate another person to exercise these rights if you die or become incapacitated.
To use any of these rights, write to us at the address below. We will respond within a reasonable time, and in any case within the period the law allows.
8. Security
We use reasonable safeguards: encrypted connections (HTTPS), access-controlled staff tools, and restricted database access. No system is completely secure, so please avoid sending sensitive information through the website that we do not ask for.
9. Children
This website is for businesses and is not directed at children. We do not knowingly collect data from anyone under 18.
10. Changes to this policy
If we change how we use your data, we will update this page and the effective date above, and ask for your consent again where the law requires it.
